1. Who we are
This website is operated by Just Bases Limited, trading as JustBases ("we", "us" and "our"). We are a specialist foundation and groundworks installer based in Ringwood, Hampshire. Just Bases Limited is the data controller for personal data collected through this website and our services.
- Registered address: Highlands, Poulner Hill, Ringwood, BH24 3HR
- Email: craig@justbases.co.uk
- Phone: 01202 039753
2. Personal data we collect
Contact enquiries
When you contact us through the website, by phone, email or WhatsApp, we may collect your name, email address, phone number, message and any other information you choose to provide. WhatsApp enquiries may also include the profile information, photographs, videos, documents or voice messages that you choose to send.
Quote requests
When you request a quote, we may collect:
- your name and at least one contact method;
- your postcode or project location;
- the service, building dimensions and project details;
- site access information; and
- optional photographs, video or PDF files that you upload.
Project and customer records
If you ask us to visit, provide a quotation or carry out work, we may keep correspondence, site notes, quotations, booking details, invoices, payment records, installation records and guarantee information.
Technical and consent information
Our hosting and security providers may process standard technical information such as IP address, browser type, requested pages, timestamps and diagnostic logs. We also store your privacy choices in your browser so that the site can respect them. Optional analytics and advertising data is processed only when the relevant technology is active and you have given the required consent.
3. How we use personal data
We use personal data to:
- reply to enquiries and discuss your requirements;
- assess a site, prepare a quotation and arrange work;
- deliver and administer our services, including our 10-year workmanship guarantee;
- keep accounting, tax, contractual and safety records;
- protect the website, prevent abuse and diagnose technical problems; and
- where you consent, measure website use and advertising performance.
We do not sell your personal data. We do not use enquiry details to send newsletters or unrelated promotional emails unless we first obtain the appropriate permission.
4. Our lawful bases
Depending on the purpose, we rely on:
- Contract and steps before a contract — to discuss a project, prepare a requested quotation, make a booking and perform agreed work.
- Legitimate interests — to answer general enquiries, administer our business, protect the website and maintain appropriate customer and project records, where those interests are not overridden by your rights.
- Legal obligation — where we must keep or disclose records to comply with tax, accounting, health and safety or other legal requirements.
- Consent — for non-essential cookies or similar technologies used for optional analytics or advertising measurement. You can withdraw this consent at any time through Cookie settings. Personalised advertising or remarketing would require a further review and an appropriately specific choice before activation.
5. Service providers and recipients
We use service providers that process information on our behalf or as independent controllers for their own limited purposes:
Contact and quote form details are sent through Web3Forms so that the enquiry can be delivered to us.
Optional files added to a quote request are uploaded directly to Cloudinary. The resulting secure file links are included with the enquiry sent to us.
The website is hosted on Vercel, which may process server, security and performance logs.
If you choose a WhatsApp contact link, your browser opens a pre-addressed conversation with JustBases. WhatsApp and Meta process the account, device and communications information needed to provide that service under their own terms and privacy information. JustBases receives the messages and files that you decide to send. The website uses a direct external link rather than an embedded WhatsApp chat widget.
Your browser may connect to Google to download the typefaces used by this website. That request may disclose technical information such as your IP address and browser details.
Google Analytics loads only after a visitor allows Analytics. If allowed, Google may process the pages visited, page title and referrer, interaction events, device and browser information, and IP-derived technical or approximate-location information so that we can understand aggregated website use and improve the site.
Our analytics event code can record confirmed form success and interactions with quote, telephone, WhatsApp and email links, together with the relevant website service, public service-area name and on-page source. It does not send enquiry-form contents, names, email addresses, telephone numbers, postcodes, messages or uploaded-file links to Google. Google Signals and advertising-personalisation signals are disabled in the website configuration.
Analytics storage is denied by default and the Google tag is not loaded for Analytics if the visitor rejects that category. Visitors can withdraw consent at any time through Cookie settings. See Google's Privacy Policy and Google Analytics privacy information.
Google Ads measurement loads only after a visitor allows Advertising measurement. If allowed, the Google tag may store or read advertising cookies and process ad-click identifiers, the page URL and referrer, device and browser information, IP-derived technical information and the conversion event that occurred. Our event code does not send the contents of enquiry forms, names, email addresses, telephone numbers, postcodes, messages or uploaded-file links to Google.
For eligible visitors who arrived through an advert, Google may dynamically replace the displayed 01202 039753 number with a Google forwarding number so that a call lasting at least 60 seconds can be counted as a qualified call. Raw phone, WhatsApp and email-link clicks are recorded only as secondary diagnostic actions; they are not treated as completed leads.
Google Ads measurement is denied by default and the Google tag is not loaded if the visitor rejects optional measurement. Personalised advertising, remarketing and enhanced conversions are disabled. Visitors can withdraw consent at any time through Cookie settings. See Google's Privacy Policy and how Google uses conversion data.
We may also disclose information to professional advisers, insurers, regulators, law-enforcement bodies or courts where reasonably necessary or legally required.
Some providers may process data outside the United Kingdom. Where UK data-protection law requires safeguards for an international transfer, we expect the relevant provider or contractual arrangement to use an approved mechanism such as an adequacy regulation, the UK International Data Transfer Agreement or the UK Addendum to standard contractual clauses.
6. Files and photographs you upload
The quote form accepts up to five optional image, video or PDF files, with a current maximum of 100MB per file. Files begin uploading to Cloudinary when you add them to the form, before you press the final quote-request button.
Please upload only material relevant to the proposed work. Avoid including people, vehicle registrations, neighbouring property details or other personal information unless it is genuinely necessary and you have the right to share it.
We use uploaded files to understand the site, prepare or revise a quotation, plan the installation and retain an appropriate project record. We will not publish them as marketing material without separate permission.
7. How long we keep information
- General enquiries and unaccepted quotes, including WhatsApp conversations: normally up to 12 months after the last meaningful contact, unless a longer period is reasonably needed to resolve an issue.
- Customer and project records: for the service relationship and normally for the duration of the applicable 10-year guarantee.
- Financial records: normally six years, in line with UK tax and accounting requirements.
- Consent preference: stored in your browser for up to six months, after which we ask again. You can change it sooner.
- Provider logs and uploaded files: retained according to operational need and the relevant provider settings; you may contact us about a specific file or enquiry.
8. Your data-protection rights
Depending on the circumstances, UK data-protection law may give you rights to access, correct, erase, restrict or object to the use of your personal data, and to receive certain data in a portable form. Where processing is based on consent, you may withdraw that consent without affecting earlier lawful processing.
To exercise a right, contact craig@justbases.co.uk. We may need to verify your identity. We normally respond within one month.
You may complain to the Information Commissioner's Office, the UK supervisory authority. We would appreciate the opportunity to address your concern first.
10. Security
We use reasonable technical and organisational measures intended to protect personal data, including HTTPS in transit, controlled access and validation of website submissions. No internet transmission or storage system can be guaranteed completely secure.
11. Children's privacy
Our services are intended for adults arranging property work. We do not knowingly seek personal data from children. Please contact us if you believe a child has provided personal information so that we can review and, where appropriate, delete it.
12. Changes to this policy
We may update this policy when our services, providers, legal obligations or measurement setup changes. The current version and update date will remain on this page. If a change materially affects an existing consent choice, we will ask for a new choice.
Questions about your data?
Contact us if you have any questions about this policy or how we handle personal data.
